If you have business customers (commercial fleets, haulers, construction companies, distributors that rent vans or cars from your rent a car several times a year), you know the routine: every January you get the same call.
"Hi, I'm from such-and-such company. Can you send me the amounts you invoiced me last year by quarter for the modelo 347?"
You open the software, filter the customer's invoices, add them up by quarter, build an Excel file, convert it to PDF, send an email. Fifteen minutes per customer. If you have 30 customers who fit that profile, that's 7.5 hours of boring, repetitive work. Every January.
Let's look at what the modelo 347 is, why your business customers need it and how to automate 100% of the process.
What the modelo 347 is and why your customer calls you
The modelo 347 is an informative return that every Spanish company must file with the tax authorities in February (or whatever deadline the AEAT sets each year), declaring the transactions carried out with each third party when the annual amount exceeds €3,005.06.
For a customer who rents 2 vans a month from you for 12 months, €8,000–15,000 a year is easily reached. They are required to declare you in their modelo 347. And to do so they need the amounts broken down by quarter:
- Q1: January, February, March
- Q2: April, May, June
- Q3: July, August, September
- Q4: October, November, December
That's why they call you. It's not that they doubt the invoices they have on file — they just need those four quarterly figures correctly added up to type into their return.
Why doing it by hand is absurd in 2026
The customer already has all the year's invoices in their email. You have them in your system too. Going through an email-call-Excel-PDF-email loop for every customer every January wastes time on both sides.
And mind you: at peak times (January–February), when the fiscal year-end, the Q4 IVA payments, insurance renewals and the year's new contracts all coincide, spending the morning building modelo 347 Excel files is the worst use of your office team.
The solution: a self-service portal with CIF
At car-rent.es we've launched the B2B Business Portal inside the customer portal:
- On the business customer's record (with the CIF filled in), your team clicks "Enable B2B portal".
- The customer receives an email with a link to create their password in 30 seconds.
- From then on, the customer's finance manager logs in to your portal with their CIF + password.
- They see a dashboard with KPIs (contracts, invoices, total invoiced, paid, outstanding).
- If it exceeds €3,005.06 in the year, an alert appears automatically: "Your modelo 347 is ready".
- With one click, you download the annual summary by quarter as a PDF and CSV, ready to include in your tax return.
Result: zero calls in January. Your customer sees bank-level professionalism. And your counter handles contracts instead of making copies and manual summaries.
What the 347 document your customer downloads includes
The PDF (printable) and the CSV contain exactly what your accountant or accounting software needs:
- Tax year (calendar year)
- Declarant details (your company: company name, CIF, address)
- Third-party details (your rental company: company name, CIF, address)
- Amount for each quarter (Q1–Q4) in €
- Annual total
- Notice of obligation if the threshold is exceeded, or an informational note if not
The CSV uses UTF-8 with BOM and the separator ;: Excel opens it with a double-click, and your accountant can import it.
Multi-tenant security
A reasonable question: what happens if two rental companies on the same SaaS have the same CIF as a customer? (It happens: a construction company rents in both Tenerife and Madrid.)
The portal detects it. When the customer enters their CIF and password, if their CIF appears in more than one rental company, the system asks: "Which company do you want to access?" And they only access the one they choose. Zero data leakage between accounts.
More than the 347: what the B2B portal offers
- Contract history filterable by year.
- Invoice history filterable by year and status (pending/paid).
- Bulk CSV download of all the year's invoices for your accountant.
- Live balance: how much you have invoiced them, how much they have paid you, how much they owe.
- No passwords for you to remember: the customer manages them themselves, using their contact email.
Which plan includes it?
The B2B Business Portal + Modelo 347 is available on the Business plan. The individual customer portal (they log in with their ID number + contract number and see only their own contract and invoices) remains on the Pro plan.
It makes sense: if you work with corporate fleets that generate thousands of euros a year, the Business plan also gives you a multi-language portal, automatic tax advisory, WhatsApp Business and private bookings for those same corporate customers.
What's coming
We are working on the next version: DGT integration for vehicle data in the contract, and direct export of the 347 to the XML format the AEAT requires for electronic filing. If you'd like to join the beta for that, write to us at info@car-rent.es.
