Snap the paper contract.
The AI does the rest.

Your sales rep closes a rental on the street, at the hotel or at the port, using the good old paper contract. They take a photo with their phone and the artificial intelligence reads the handwriting: name, ID number, driving licence, plate number, dates and amounts. If the customer is flagged as a defaulter, you get an instant alert. One more tap and the contract is in the system: the car is marked as occupied in fleet control right away.

What it does for you

Reads handwriting

The vision AI interprets the hand-filled contract: customer details, driving licence, plate number, dates, price and total. And it flags any fields it can't read with confidence so you can check them.

Defaulter alert

It cross-checks the ID number it reads against your database: if the customer or driver is flagged as a defaulter, a red alert with the reason appears before you save. You decide.

Fleet up to date, instantly

When you save, the vehicle is marked as occupied in the system. The office and the other sales reps see real availability: no more renting the same car twice.

Sales rep mode (PWA)

Your sales reps install car-rent.es as an app on their phone with a dedicated screen: send a contract by photo, make bookings, check contracts and customers. Everything one tap away.

Validation by the office

The contract comes in as "pending validation". The operator sees the photo of the paper on the left and the data on the right, corrects whatever is needed and validates. Who validated it and when is recorded.

Paper, archived

The photo of the original contract is stored in the customer file, protected (accessible only when logged in). Your supporting documents, digitised and easy to find.

Why does it matter?

If you have sales reps at hotels, ports or airports, you know the problem: the contract is made on paper and until it reaches the office, that car is "available" in the system. The result: double bookings, phone calls asking "is the Corsa rented out?", and a whole afternoon spent entering contracts by hand.

With contract from a photo, the sales rep sends it at the moment of signing. The fleet is always up to date, the office validates at its own pace by comparing the photo with the data, and nobody has to retype an entire contract again.

And a detail that saves headaches: if that ID number is flagged as a defaulter, the sales rep knows before handing over the keys. Not after.

How it works

1
Photo of the paper

The sales rep opens the app on their phone and photographs the signed contract. It works in the office too: drag in a scan.

2
The AI reads it and alerts you

Within 10-30 seconds it returns the completed form, matches the plate number to your fleet and warns you if the customer is a defaulter.

3
Save and validate

The contract is created and the car is marked as occupied. The office then validates it by comparing the photo and the data on screen.

Frequently asked questions

Which plan includes it?

Contract from a photo with AI and the mobile sales rep mode are exclusive to the Business plan. The 14-day free trial includes them so you can see them work with your own contracts.

Can it read any handwriting?

It reads normal handwriting surprisingly well (it uses state-of-the-art vision AI, not classic OCR). Anything it can't read with confidence is left blank and flagged for you: it never makes up data. You always review before saving.

What happens if the customer is a defaulter?

A clearly visible red warning appears with the reason and the date of the flag, plus an extra confirmation before saving. It warns, it doesn't block: the decision is up to your team.

Can the office correct the data?

Yes. Every contract created from a photo is left "pending validation" in your office. The validation screen shows the photo of the paper next to the editable data; the operator corrects and validates. Who validated and when is recorded in the audit trail.

What about photos containing personal data?

They are stored in a protected folder that cannot be reached by direct URL: they are only served to logged-in users from your own company and office. GDPR compliant.

Does it also work at the counter?

Yes. The "From photo" button is in Contracts for any user with permission: it's useful for digitizing the stack of contracts your sales agent brings back at the end of the day, or your historical paper archive.
